Workshop on Organizing International Conferences with Indexed Proceedings Outputs in Reputable Databases 2018

On Wednesday, November 28 2018, Publishing and Publication Board (BPP) UGM held the workshop on organizing an international conference with indexed proceedings outputs in reputable databases at the 1st Multimedia Room, UGM Central Building. The representatives of international conference organizers from all units at UGM has been attended in this workshop. In recent years, the holding of international conferences at UGM has continued to increase, and it is directly proportional to the amount of paper produced. To maintain the quality of the international conferences outcome, BPP UGM considers it necessary to guide the international conferences organizers, particularly related to the proceedings.

Dr. I Wayan Mustika and Dr. Tri Rini Nuringtyas was present as the speakers. In the first session, Dr. I Wayan Mustika delivered material related to the importance of post-conference article preparation. He delivered an outline of the four output schemes from the conference:

  1. the manuscripts published in the proceedings and cooperated with the publisher that had been indexed by Scopus or the equivalent;
  2. the manuscripts published in the proceedings independently and then it submitted for indexation to the reputable database;
  3. the manuscripts published in the journal articles by cooperating with the indexed journal in Scopus or equivalent; or
  4. the manuscripts published in the special edition of journal articles by cooperating with the indexed journals.

Various advantages and disadvantages of each proceeding indexation scheme were also shown, followed by submission steps of the manuscript in the IEEE Explore Digital Library. The first session of the workshop ended with a discussion session between participants and the speaker.

In the next session of the workshop, Dr. Tri Rini Nuringtyas delivered material related to “how to organize an international conference” which included preparation, implementation, to post-implementation. She said that quality conferences could be seen from two perspectives: participants (networking and indexed publications in reputable databases) and the government or DIKTI (the terms of the international conference criteria). In addition to conveying things that need to prepare in the implementation of international conferences, Nuringtyas also conveyed the importance of the conference website that prepared clearly.

The two topics presented by the two speakers were the main keys to the success of holding an international conference. With the direct interaction between participants who are representatives of conference organizers from all units at UGM, we hoped that it could be a good first step in preparing for the holding of the conference in 2019 and beyond.
